Role Overview

We’re seeking a skilled Event Coordinator to join our trade show and event team. The Event Coordinator is responsible for collaborating with the Event Account Executive, Account teams and clients to develop and execute integrated strategies, objectives, and plans for trade shows and events to maximize brand exposure. This role is responsible for coordinating the setup and teardown of client exhibits, while ensuring that necessary equipment for display purposes is on hand and in working order.

Key Responsibilities

  •  Recommends trade show, exhibits, conferences or events per client marketing objectives.
  • Conducts event venue research and provides recommendations.
  • Evaluates current vendors and recommends new vendor partners as needed.
  • Attends check-in and strategy meetings with clients.
  • Implements strategies determined in pre-show/pre-event meetings.
  • Plans, coordinates, and manages clients’ domestic and international trade shows and special events as required.
  • Develops trade show plans, including theme, design/build, graphics, install/dismantle, and promotional giveaways.
  • Executes off-site events for clients’ customer events.
  • Manually install and dismantle clients’ properties.
  • Supervises setup, utilizing the best-fit installer and dismantle team.
  • Manages onsite exhibit/event operations, including setup booth hours and post-show dismantle.
  • Assists the Event AE with job estimating and budgeting.
  • Support estimating and purchase order entry.
  • Track clients’ leads generated from exhibits and report data to the account team.
  • Supports onsite new business development and follow-up.
  • Conducts event venue research and provides recommendations.

    Qualifications

    • 2+ years of experience in event or trade show marketing or related fields (preferred).
    • Experience in energy, industrial, or power industries is a plus.
    • Ability to travel domestically and internationally to support client events.
    • Strong organizational and time-management skills.
    • A proactive attitude and passion for creating compelling content.
